Group reservations 2013
Day trip reservations
Day trips must be booked in writing (fax, e-mail) at least 3 weeks beforehand. Toerisme Brugge will make reservations for groups of at least 20 paying people. If the number of participants is less than 20, the price charged will be the price for 20 participants. Toerisme Brugge will book the requested services and send the customer and service provider(s) a quotation. Menu prices exclude drinks.
Payment
Your reservation is only confirmed upon payment of an advance of 30% by the customer to Toerisme Brugge. The customer is also charged an additional mediation charge of € 5 (not refundable). Advance payments can be made by bank transfer or credit card. Transfers must be made to bank account number IBAN: BE11 0910 1303 8748 – BIC: GKCCBEBB on behalf of ‘Toerisme Brugge, Postbus 744, B-8000 Brugge’. Credit card payments are made by stating the card number, expiry date and CVC number (always state the reservation number, the group name and the date of the visit). All bank charges are at the expense of the customer. Cheques and vouchers are not accepted.
The balance must be paid in cash on the spot to the various suppliers on the day itself.
Contract
Upon receiving the advance, Toerisme Brugge will send the customer a contract with the reservation details. If the advance has not been paid before the date stated in the quotation, Toerisme Brugge cannot guarantee your reservation.
Changes and cancellation
The number of participants can be changed up to five working days before the planned visit (max. 10 % less). If there has been no change to the specified number, the customer will always have to pay for the originally specified number of participants (with a minimum of 20). Only two changes (submitted in writing) can be accepted.
Cancellations must be made (in writing) to Toerisme Brugge at least seven working days before the visit. Toerisme Brugge always charges a cancellation fee of € 15 if the entire reservation is cancelled. For cancellations less than seven working days before the visit, half of the total amount of the reservation will be charged. For cancellations less than 48 hours before the visit, Toerisme Brugge will charge the full amount of the reservation.
No show: Toerisme Brugge does not give refunds in case of No Show.
Guided tour reservations
There is a maximum of 25 participants per guide. Guided tours must be booked in writing at least 1 week beforehand.
Payment
The guide is to be paid in cash on the spot; they will give you a receipt. Toerisme Brugge also charges an administration fee of € 5 in case of advance payment of every prepaid guided tour.
Changes and cancellation
The guided tour can be changed or cancelled (in writing) up to three working days before the visit. If the guided tour is cancelled less than three working days before the visit, you must pay € 60 per guide (+ administration fee). Should the group fail to arrive, or arrive more than one hour after the agreed departure time at the meeting point, the total amount of € 60 (+administration fee) will be charged.
Important information
For guided tours of a longer duration (entire day or outside Bruges) it is customary to invite the guide to a meal at the expense of the group. The total duration of the service is then reduced by one hour (= € 30).
If the guided tour takes place outside the old town centre of Bruges, travel costs will be charged for each guide (= € 5).
The amount paid per guide is solely for the services of the guide. If you have planned a guided tour of a museum, you still have to pay for the tickets at the museum.
Please always be at the agreed meeting place on time.
The guide’s name and the mobile phone number are not known in advance.
Toerisme Brugge is only an intermediary and cannot be held responsible for any failings on the part of the customer and/or service provider, nor for any accidents or other circumstances beyond its control.
The indicated menu prices do not include drinks.
